Welcome to the SharedGrid Privacy Policy. SharedGrid is committed to protecting your privacy and your personal information. This document outlines important information you need to know about what personal information we collect, how we store your information, who has access to your information, how long we store your information, and how cookies are used on our website.

Data being collected

We strive to only store the personal information required to provide you with a service. Personal information is any information about an individual through which a person can be identified.

We may collect, store and use the following personal information:

  1. First name, middle name, surname, maiden name, title, username.
  2. Date of birth and Gender.
  3. Billing address, delivery address.
  4. Email address, mobile and telephone numbers.
  5. Payment data of services you have purchased, but we do not store payment information.
  6. IP address, browser and operating system
  7. We use Cloudflare as a proxy for some of our services. Cloudflare may collect technical data such as, but not limited to, IP address, browser, operating system, and location. Please refer to the legal policies on Cloudflare's website for more information.

How is data collected

Data is collected through various methods:

  1. When you purchase one of our products or services.
  2. Register an account on our website.
  3. Communicating with us via social media or video conferencing technologies.
  4. Request marketing material to be sent to you.
  5. Enter a promotion or survey.
  6. Give us some feedback.

How we use your data

We will only use your data when legally required to do so. The most common uses of your data are:

  1. When we are about to or have entered a contract.
  2. Where we need to comply with a legal or regulatory requirements.

Disclosures of personal data

We sometimes share information with other companies. We only share information with service providers when we are confident they will manage and secure information to our satisfaction, within the guidelines of this policy and the law. These are set out below for the following purposes:

  1. Payment Service Providers - We use Stripe and PayPal as payment processors. We do not store any personal payment information on our servers or systems, as these are directly processed by Stripe and PayPal. These companies may collect information about you; refer to their respective legal policies.
  2. Domain Registration Providers - We use external domain registration services, which may collect personal information about you. One such example is for WHOIS information, required by registrars.
  3. External Third Parties - These are entities that help us run our business, such as accountants.
  4. Fraud Prevention - We use an external service provider to perform fraud checks on each new order to protect the services we offer and other customers on the platform. We currently utilise FraudLabs Pro as our fraud prevention tool; refer to their legal policies for more information.
  5. Auditors and Law Enforcement - We share information with external auditors and law enforcement agencies, taxation authorities, and regulatory bodies to comply with our legal, taxation, and regulatory obligations.

Securing data

We have implemented measures to prevent personal data from being accidentally lost, accessed, used, altered, or disclosed in an unauthorised way. We limit access to the personal information we store to employees only, and access is allowed on a need-to-know and pre-authorised basis. We also have internal policies to notify you and the appropriate regulatory bodies of a data breach.

Data Retention

We will retain data for as long as required to satisfy the services we offer you, as well as any legal, accounting, or reporting requirements. By law, we are required to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for 6 years after services have been ceased.

Your legal rights

Under data protection law, you have the following rights to your personal information under certain conditions: request access to your personal data, request correction of data, request deletion of data, object to the processing of your data, request restriction of processing of your data, request the transfer of your data, and the right to withdraw consent.

There is no fee to ask for access to your personal data; however, a fee may be imposed if your request is excessive, unfounded, or repetitive. We may need to request additional information from you to confirm your identity before releasing information. We aim to respond to all requests within 1 calendar month; however, there may sometimes be delays, and you will be notified of any progress.

By purchasing services from us, you confirm that you accept all the points outlined in this document. If you do not agree, please do not purchase services from us.

Use of Cookies

SharedGrid does not use cookies for any web tracking or forcing adverts to you on other websites. A example of some of the cookies we use: RememberMe Cookie - this is used when you select the 'remember me' option when logging into services. Session Cookie - used to pass variables between page loads, for use cases such as keeping track of items within your shopping cart. Affiliate Cookie - this is only used if you have clicked on a affiliate link and is stored for 90 days.
